What we collect, why we collect it, who else touches it, how long we keep it, and how to get a copy of it back.

Last updated 11 October 2026

Who is responsible

Galvitech PC Services is a sole proprietorship — no separate company behind it. One person is therefore both the responsible party under the Protection of Personal Information Act (POPIA) and the Information Officer:

  • Cobus Galvin, sole proprietor, trading as Galvitech PC Services
  • 62 Bosch, Northern Paarl, Paarl, 7646, South Africa
  • Telephone: 081 015 0573
  • Information Officer: cobus@galvitech.co.za

What we collect, and why

Booking a drop-off gives us your name, number and email, the appointment, the device and its serial number, the fault, the accessories, any password needed to work on it, and your note. An enquiry gives us your name, email and message.

We use it under section 24(1)(a) of POPIA, which allows processing needed to enter into and perform the contract you asked us for — in practice, to repair your device and settle the account.

To repair a machine we look at what is needed to find the fault. We do not browse your personal mail, photos or messages. If a fault genuinely needs more than that, we tell you first.

Passwords and PINs

If a device cannot be diagnosed or repaired without a password, we will ask for one. We ask for the least that gets the job done, we do not test it against anything, and we do not keep it once the work is finished. If the fault does not need a password, please do not give us one.

Who else sees it, and outside South Africa

This is the part most policies skip. Two services we rely on are hosted outside South Africa, so your information leaves the country when you use them.

  • ClickUp, our booking and job-tracking system — your name, number, email, fault and appointment, so bookings stay in one place instead of an inbox.
  • Web3Forms, which delivers website enquiries to our inbox. Bookings do not go through it.
  • Our email provider, which sends the booking notification.
  • Parts suppliers, only where we must order a specific part, and then only your contact details — never the contents of your device.
  • Reset Lab in Cape Town, only if a MacBook needs board-level work and you ask us to arrange it.

We do not sell your information and do not share it for marketing.

This website

  • No cookies. This site sets none of its own.
  • No analytics. No Google Analytics, no Facebook pixel, no session recording. We cannot see who visits.
  • No third-party fonts. The typeface comes from our own server, so your visit is not reported to a font provider before the page even draws.

If you use our WhatsApp, Facebook or Instagram links, or open our location in Google Maps, you are then on those services and their privacy terms apply.

How we keep it safe, and for how long

  • Booking records sit in files that return nothing over the web to anyone who is not the system.
  • The connection to our booking system and job tracker is encrypted, and access to booking information is limited to Cobus.
  • If a breach ever creates a serious risk to you, POPIA expects us to tell you and the Information Regulator as soon as reasonably possible.

We keep job cards, invoices and correspondence for three years from the end of the financial year the work was done in, and enquiries that never became jobs for up to 24 months. Anything you ask us to delete goes within 30 days, except records we are legally required to keep. Bookings are held until you collect the device or cancel.

Your rights

Under sections 23 and 24 of POPIA you may ask what personal information we hold about you and get a copy, ask us to correct anything wrong, object or withdraw a consent, and ask us to delete it where we are not required to keep it.

Email cobus@galvitech.co.za with POPIA in the subject line. We normally answer within thirty days and may ask you to confirm your identity first, so we do not hand your information to the wrong person.

If we do not sort it out, complain to the Information Regulator at inforegulator.org.za, inforeg@inforegulator.org.za, or 010 003 2307. Please give us the chance to fix it first — it is usually faster for you.

We review this policy as things change, and the date at the top is the current version. If we ever need to collect something not described here, we will tell you before we collect it.
